Fixed Assets/Inventory Task
The function of the Fixed Assets/Inventory Task can be used in two ways:
Method One: The task is used to create lists (inventories), e.g. of equipment in the facility, with the possibility of viewing and editing, when, for example, the status and number of a certain equipment changes. The Fixed Assets/Inventory Task is different from a typical task. Each time the user starts the task in a given location, the previous answers can be edited. Answers are saved per location!
Practical example: The application creates a location for a company's restaurant. An employee and the manager of the restaurant are assigned to the location. The employee performs the Fixed Assets task, in which they mark what kind of equipment the restaurant has: the employee marks the fridge, freezer and juicer. After completing the task, the manager decides to check if the employee has marked all the equipment. After starting the task, the manager sees the answers given by the employee and can edit them. The manager notices that the employee has not marked the coffee machine, so adds the answer and sends the task. If the employee now enters the task, they will see the four answers: fridge, freezer, juicer and coffee machine.
Method Two: Allows you to combine Method One with the automatic process of assigning users to User Groups according to the equipment status. In a correctly configured task, the answers in Multiple Selection will be
User Groups. After selecting the answer, the user will be automatically assigned to a given user group. This makes it easy to assign tasks concerning given devices to users who have them.
Practical example: As in the practical example for Method One, the employee marks three answers in the task: fridge, freezer and juicer. After sending the task, the existing user groups called Fridge, Freezer and Juicer are added. It automatically receives the tasks to which these user groups are assigned. If, after some time, the user removes the selection of one of the hardware, they will be removed from the corresponding user group. Note that the user who performs the task is assigned to the group.
Configuration of the task for Method One
1. Create a new task. The configuration of the task is described in the following
article. After setting all the parameters you must go to the Task Generator.
3. The task should be saved. It is important to note its ID, because you will need it in further configuration.
The task ID can be found in the basic information about the task in General Settings.
In the application parameters, find the position of UserGroupsTaskID and enter the id of the task, which is to act as a fixed asset.
Please Note: If you wish to have more than one task with the fixed assets function, enter all IDs separated by a comma, without using spaces!
Configuration of the task for Method Two
1. First of all, you must create user groups to which you want to assign people performing the task. Creating user groups is described in the following
article.

2. Next, create a new task. The configuration of the task is described in the following
article. After setting all the parameters you have to go to the Task Generator.
3 In the Task Generator, create a task with the Multiple Choice command. Replies in the Multiple Choice command should be created for user groups from point one.
Please Note:
In the Multiple Choice command, the exact name of the User Group must be given, otherwise the user will not be assigned to it. Keep the spaces, uppercase letters and other characters as used in the exact name.
4. Save the task. It is important to note its ID, as you will need it in further configuration.
The task ID can be found in basic information about the task in General Settings.
In the application parameters, find the position of UserGroupsTaskID and enter the ID of the task, which is to act as a fixed asset.
6 In the application parameters, find EnableUsersGroupsSyncJob and enable the script that is responsible for synchronising responses and user groups.
Please Note:
The script starts every hour, so it is possible that a user is assigned to a group of users one hour after completing the task.
